This Privacy Policy explains how ZennIP processes personal data in accordance with the EU General Data Protection Regulation (GDPR).

2. Personal Data We Process

We may process the following categories of personal data:

  • Basic contact details (such as name, email, phone number, address)

  • Information provided by job seekers in applications, CVs or profiles

  • Information related to client companies and their representatives

  • Service-related information such as communication history and contracts

  • Intellectual property–related data (e.g., information and documents relating to trademark, design and patent applications)


3. Purpose and Legal Basis

We process personal data only when there is a valid legal basis, such as:

  • To provide our services and fulfill agreements

  • To support recruitment processes for job seekers and employers

  • To comply with legal obligations

  • To manage and improve customer relationships and services

  • With your consent, for example for specific recruitment processes or marketing


4. Data Retention
  • Client and contract data is stored as long as required by law.

  • Job applications and CVs are stored with consent for a maximum of [12 months], unless legal or contractual obligations require longer retention.

  • When data is no longer needed, it will be securely deleted or anonymized.


5. Data Sharing and Transfers

We do not sell personal data. Data may be shared only when:

  • Necessary to provide our services (e.g., sharing applicant data with potential employers, or submitting application data to authorities such as EUIPO or PRH)

  • Required by law or authorities

  • Processed by trusted service providers (e.g., IT, hosting) under strict agreements

Data collected via online forms is stored in the Cognito Forms environment and related supporting systems (such as OneDrive and SharePoint within Microsoft 365, where applicable). Cognito LLC acts as a data processor on behalf of ZennIP.

If personal data is transferred outside the European Union or European Economic Area, such transfers are always subject to appropriate safeguards under the GDPR. These safeguards include the European Commission’s Standard Contractual Clauses (SCCs) and, where applicable, the EU–US Data Privacy Framework (for example with Cognito LLC, Microsoft Corporation, or Google LLC in the United States).


6. Cookies and Analytics

Our website uses cookies that are necessary for its basic functionality. Analytics and marketing cookies are used only with your consent.

We use Google Site Kit, which integrates services such as Google Analytics, to help us understand how visitors use our website. These tools may collect information such as device type, browser, approximate location, and browsing behavior. This data does not include full IP addresses and is not used to identify individual visitors. The processing is based on your consent.

Google LLC may process data in the United States. In such cases, appropriate GDPR safeguards apply.


7. Your Rights

You have the right to:

  • Access your data and request correction or deletion

  • Restrict or object to processing

  • Receive your data in a portable format

  • Withdraw your consent at any time

  • Lodge a complaint with the supervisory authority (Office of the Data Protection Ombudsman, Finland – www.tietosuoja.fi)
